For many businesses, adopting Microsoft Copilot is a positive step forward. It shows a willingness to modernise, improve productivity, and introduce AI in a more structured, business-ready way. It’s also a much better route than leaving employees to experiment with public AI tools on their own.

But here is the important point: having Copilot in place doesn’t automatically mean your business is fully protected from AI-related risk.

Sometimes that’s true… Often, it’s only partly true.

Employees may still turn to other AI platforms out of habit, convenience, speed, or curiosity. They may use them for drafting, summarising, idea generation, research, coding, or data handling without thinking too deeply about the implications.

That’s where the risk starts to build. Not because your approved solution is wrong, but because unapproved behaviour still exists alongside it.

That’s what Shadow AI looks like in practice:

  • Staff using free or public AI tools for quick tasks
  • Business information being pasted into tools outside approved environments
  • Teams adopting their own preferred AI platforms without IT involvement
  • Inconsistent understanding of what is and isn’t acceptable
  • Leaders assuming AI is under control because Copilot licenses are active

That last point matters. A license rollout isn’t the same as secure adoption.

The Question To Ask Isn’t “Do We Have Copilot?”

It’s: “Do we know how AI is actually being used across the business?”

Those are two very different things. A business can absolutely have Copilot in place and still face issues around:

  • Uncontrolled AI use
  • Weak user awareness
  • Inconsistent policy
  • Over-permissioned access
  • Poor visibility into behaviour
  • Uncertainty around where business data is going

This is why AI now needs to be treated as part of the wider security conversation, not as a standalone productivity project.

What Secure Copilot Usage Actually Looks Like

If your business already has Copilot, that is a strong starting point. The next step is making sure adoption is happening in a way that is secure, governed, and aligned with your wider IT and security posture. That usually means reviewing five key areas:

Clear user guidance

Your team should understand:

  • Which AI tools are approved
  • Which aren’t
  • What type of information should never be entered into AI tools
  • When they should stop and ask for guidance

Without this, people will fill the gaps themselves.

Visibility and oversight

You need a realistic picture of how AI is being used across the organisation. If staff are defaulting back to public tools, using personal accounts, or mixing approved and unapproved platforms, that needs to be understood early – before it becomes embedded behaviour.

Access and permissions

Copilot works within your Microsoft environment, which makes good access control even more important. If users have access to information they shouldn’t really be seeing, AI can surface that information faster and more easily for them. That’s not a Copilot problem – it’s a permissions and governance problem that AI can expose.

Data handling discipline

Even with approved tools, users still need to think carefully about prompts, uploaded content, and how they use outputs. Good technology doesn’t remove the need for good judgement.

Wider security maturity

AI security doesn’t sit in isolation. If phishing resilience is weak, user training is inconsistent, endpoints are not well managed, or incident readiness is unclear, then AI adoption is happening inside an environment that may already have gaps elsewhere.

For businesses already using Copilot, the right next step is usually not another tool, it’s a review of how securely AI is being adopted in practice.

That means asking questions like:

  • Are staff clear on what’s approved?
  • Are other AI tools still being used?
  • Are permissions and access controls in good shape?
  • Do we have confidence in how business information is being handled?
  • Are we treating AI as part of our wider security posture?

These are the kinds of questions that help move businesses from “we’ve bought Copilot” to “we’re using AI securely and confidently”.

There’s a big difference between the two.
